Privacy Policy

This policy explains what information Relco collects, how we use it, and the choices you have. It covers our website, our service, and the messages we send on a clinic's behalf.

Who we are

Relco is the AI front desk for med spas and aesthetic clinics. The service and this website (relcoai.com) are operated by Relco Digital ("Relco", "we", "us", "our"). You can reach us any time at hello@relcoai.com or on WhatsApp at +92 323 798 9871.

In plain terms: we sell an AI receptionist to clinics. This policy covers three groups of people - visitors to this site, the clinics that subscribe, and the people who call or message those clinics and are answered by Relco.

Information we collect

From website visitors

When you book a walkthrough, message us, or fill in a form, we collect what you give us: your name, work email, phone number, clinic name, website, and anything you type into the message field. We also collect basic technical data your browser sends (such as IP address, device and page views) to keep the site secure and understand what content is useful.

From clinics that subscribe

To set up your front desk we collect business and account details: legal business name, address, tax ID (EIN) for carrier text registration, billing contact, booking-software access, your treatment menu and pricing, hours, and the answers you want Relco to give. This is the information you provide during onboarding.

From people who contact a clinic (end-customers)

When someone calls, texts, or DMs a clinic that uses Relco, we process the contact details and message content needed to answer, qualify, and book them - typically name, phone number, channel, the treatment they ask about, and appointment details. We handle this data on behalf of the clinic, as its service provider.

How we use information

  • To run the AI front desk - answer questions, qualify leads, book consults, and route hot leads to the clinic's team.
  • To set up, support, secure, and improve the service.
  • To send service messages (appointment confirmations, replies, and alerts) on the clinic's behalf.
  • To respond to your inquiries and schedule walkthroughs.
  • To bill subscribers and keep required business records.
  • To meet legal, security, and fraud-prevention obligations.

Text messaging and phone data

We never sell your data, and we never share phone numbers or SMS opt-in consent with third parties for their own marketing. Mobile information collected for text messaging is used only to deliver the messages you have agreed to receive, and to support and secure the service.

When you give a clinic your number, or reply to start a conversation, you consent to receive messages from that clinic through Relco. Message frequency varies. Message and data rates may apply. You can opt out at any time by replying STOP, or get help by replying HELP. Full details are in our Messaging Terms.

How we share information

We share information only with the parties needed to deliver the service:

  • Service providers (subprocessors) - telephony and messaging carriers, our AI platform, hosting, and payment processing. They may only use the data to provide their service to us.
  • The clinic - end-customer conversations and bookings are shared with the clinic the person contacted. That is the point of the service.
  • Legal and safety - when required by law, or to protect rights, safety, and the integrity of the service.
  • Business transfer - if the business is sold or reorganized, data may transfer as part of that transaction, subject to this policy.

We do not sell personal information, and we do not share it for cross-context behavioral advertising.

Cookies and analytics

This website uses only the cookies and similar technologies needed to function and, where enabled, to measure aggregate traffic so we can improve content. We do not use third-party advertising cookies. You can block or delete cookies in your browser settings; the site will still work.

Data retention

We keep information for as long as needed to provide the service and meet legal, tax, and security obligations, then delete or anonymize it. Clinics can ask us to export or delete account and conversation data, subject to records we are required to keep. End-customers can ask the clinic, or us, to delete their data.

Security

We protect data with encryption in transit, access controls, and least-privilege handling. Conversations are scoped to scheduling and qualification only - Relco does not request or store clinical records. No system is perfectly secure, but we work to keep your data safe and to notify affected parties promptly if a breach occurs.

Your rights and choices

Depending on where you live, you may have the right to access, correct, delete, or port your personal information, and to opt out of certain processing. To exercise any of these, email hello@relcoai.com. We will not discriminate against you for exercising a right. Residents of California (CCPA/CPRA) and the EU/UK (GDPR) have specific rights, which we honor; for end-customer data processed on a clinic's behalf, please also contact that clinic.

Children

Relco is a business tool and is not directed to children. We do not knowingly collect personal information from anyone under 18. Clinics are responsible for the age and consent of the people they serve.

International users

Relco serves clinics in the United States, and data may be processed and stored in the United States and other countries where we or our providers operate. By using the service you understand your information may be transferred to those locations.

Changes to this policy

We may update this policy as the service evolves or the law changes. We will revise the "last updated" date above and, for material changes, give notice through the service. Continued use after an update means you accept the revised policy.
